Terms of use
Last updated: October 11, 2026
1. About these terms
These terms apply when you use the Be Well Passport website and a Be Well Passport account. Be Well Passport is operated as part of Be Well Asheville (“we” or “us”). By creating an account or using the site, you agree to these terms and to our Privacy Policy. If you don't agree, please don't use the site.
Businesses that take part as Passport partners have their own provider terms. These terms are for everyone else.
2. Your account
- An account is free. It lets you sign in and see anything linked to you, such as a Passport issued to your email address or a business you work with.
- Creating an account does not give you a Passport, a discount, business or staff access, or access to any business's services on its own.
- Use an email address you control, and keep your password and sign-in links private. You are responsible for activity on your account.
- Tell us promptly at hello@bewellpassport.com if you think someone else has used your account.
- You must be at least 18 years old to create an account.
3. Your Passport and your access
Your Be Well Passport belongs to your account. It holds your Passport code and your collection of stamps, check-ins, and history, and it stays with your account.
Access to use Passport offers comes from a Passport product that you buy or that is issued to you, such as a seasonal city Passport. Each product has its own terms, including when its access starts and ends, its price, and its refund terms, and they are shown to you before you buy. When a product's access period ends, you can no longer use it to redeem offers, but your Passport and your stamps, check-ins, and history stay. Current product terms: Asheville Winter Passport.
Passport access is personal to you and cannot be transferred once it is activated on your account. Please do not sell or transfer it, share your sign-in, or share your Passport code so someone else can use your benefits.
Where a product can be bought as a gift, the buyer receives a gift code, not access for themselves. Until it is claimed, the gift can be given to someone else. Whoever claims it with the code adds it to their own account; from then on it belongs to that person, cannot be transferred, and follows that product's terms, including its access dates.
Each experience is offered by the business, not by Be Well Passport, and is subject to what that business states: availability, booking requirements, capacity, blackout dates, and any limits on how many times it can be used. Businesses may join or leave the program, and offers and experiences may change or end. A Passport does not guarantee that any particular business, experience, or offer, or any minimum number of them, will be available. Check the current details before you go.
4. Check-ins and stamps
When you use your Passport at a Passport Stop, the business checks you in by scanning your Passport code or entering it. Each check-in records a visit and may add a stamp to your Passport. Stamps are a record of the places you have visited. They have no cash value, cannot be exchanged or transferred, and are not a prize or reward program.
Please don't share your Passport code with others or try to check in where you haven't visited.
5. The businesses you visit
Passport Stops are independent businesses. They provide the experiences and services you use with your Passport, and they are responsible for them, including their safety, quality, suitability, staff, licensing, pricing outside the Passport, and customer service. Be Well Passport is a discovery, access, and check-in program. It does not provide wellness, fitness, spa, medical, food, hospitality, or other services itself, and it does not endorse or guarantee any business or the results of any service.
Your Passport being eligible for an offer, a check-in, a stamp, or a business appearing in Be Well Passport does not mean that Be Well Passport has certified, supervised, or taken responsibility for that business's services. To the extent permitted by law, Be Well Passport is not responsible for injuries, losses, or disputes arising from services a Passport Stop provides; please raise any concern about a service with that business, and let us know too. This does not limit any responsibility we have for our own conduct that the law does not allow to be limited.
6. Health and safety
Be Well Passport does not provide medical care, and does not diagnose, treat, cure, or prevent any disease or health condition. Nothing provided through Be Well Passport is medical advice or a substitute for care from a qualified healthcare professional. Check with one before starting any new activity or treatment, especially if you have a health condition, are pregnant, or have an injury.
Some independent Passport Stops are licensed healthcare or wellness providers. Any services, advice, diagnosis, treatment, or other professional care they provide is solely between you and that independent provider, and is not provided by Be Well Passport. Be Well Passport does not verify or guarantee any provider's licensure, credentials, safety, treatment, diagnosis, or outcomes.
Tell the business directly about anything they need to know to serve you safely. Please don't send us your health information; we don't need it and don't ask for it. Be Well Passport is not intended to collect or maintain medical records, diagnoses, treatment information, patient charts, insurance information, or protected health information, and you should not submit that information through the platform. You decide which activities are right for you and take part at your own discretion. Follow each business's safety rules and instructions, and stop if something doesn't feel right.
7. Using the site
When you use Be Well Passport, please don't:
- give false information, impersonate someone, or use someone else's account or Passport;
- try to get around how Passports, check-ins, or limits work;
- interfere with the site, probe it for weaknesses, or access it with automated tools we haven't allowed;
- use the site for anything unlawful, harmful, or harassing.
8. Ask Be Well (AI assistant)
Ask Be Well is an optional AI assistant in your account. Its answers are generated by AI and may be inaccurate or incomplete. Your account pages and our official records, such as your Passport, access dates, check-ins, stamps, and purchases, always take precedence over anything Ask Be Well says. Ask Be Well can't change your account, and nothing it says changes your rights under these terms or any Passport's terms. Please don't enter health information or other people's personal details. Our Privacy Policy explains how it handles information.
9. What you send us
If you send us information (for example a concierge request or a message), you confirm it's accurate and that you're allowed to share it. We use it as described in our Privacy Policy.
10. Photos you add to your Passport
You can choose to add a photo to an experience you completed (a “Passport memory”). Adding photos is optional, and it never affects your stamps, check-ins, or access.
- Your photo stays yours. By adding one, you let us store it, process it (for example resizing it and removing location data stored in the file), show it to you in your Passport, and let our team review it. We don't use your photo in our promotional materials unless you separately give permission for that photo under our Photo Usage Terms, which are shown when you give that permission.
- Only add photos you have the right to share. You confirm that you took the photo or have the right to share it, and you are responsible for the photos you add.
- Other people. If other adults can be identified in a photo, you confirm they have agreed to you adding it. A photo that shows a child stays private in your Passport and is never used in our promotional materials.
- Please don't add anything unlawful, anything that infringes someone else's rights, or anything abusive, harassing, hateful, sexually explicit, violent, or otherwise inappropriate, or that shows other people's private information.
- Review and removal. We may review photos, and we may hide or remove any photo that doesn't follow these terms or our guidelines. We may limit this feature for anyone who misuses it.
- Sharing is up to you. If you share a photo or caption elsewhere, you choose where it goes and that platform's terms apply. Sharing doesn't give us any further rights to your photo or your post.
- You can remove a photo from your Passport at any time.
11. Promotions
Be Well Passport may offer drawings, giveaways, promotions, or special offers from time to time. Details, eligibility, entry methods, deadlines, prizes, and additional rules will be provided separately for each applicable promotion, and that promotion's own official rules apply to it. We may also share announcements and current promotion details on Be Well Passport's social media. These terms don't promise that any promotion will be offered, or that any photo, visit, or stamp will qualify for one.
12. Our content
The Be Well Passport name, logos, design, and content belong to us or to the businesses and people who licensed them to us. You may use the site for your own personal, non-commercial use.
13. Suspending or closing an account
You can ask us to close your account at any time by emailing hello@bewellpassport.com. We may suspend or close an account, or cancel a Passport's access, if it is used in breach of these terms or to misuse the program.
14. Availability of the site
We work to keep the site accurate and available, but it is provided “as is” and we can't promise it will always be error-free or uninterrupted, or that every experience will be available when you want it. Each Passport Stop is responsible for its own services, as described in section 5. Nothing in these terms limits any rights you have under the law.
15. Changes to these terms
We may update these terms as Be Well Passport develops. When we make a significant change, we will update the date above and, where appropriate, let account holders know by email. Continuing to use the site after a change means you accept the updated terms.
16. Governing law
These terms are governed by the laws of the State of North Carolina, United States.
